Privacy Policy
Effective October 25, 2026
Orvix Aero is a pilot logbook app that fills itself in. This policy explains what information the Orvix Aero app, the Orvix Family app, the Orvix Cabin app and orvixaero.com collect, why, and the choices you have. In short: your logbook belongs to you, we only use your information to run Orvix Aero, and we never sell it.
What we collect
- Account details. Your email address and a password, or the name and email address that Apple or Google share with us when you choose “Continue with Apple” or “Continue with Google.” If you use Apple’s “Hide My Email,” we only receive Apple’s private relay address.
- Your pilot profile. Certificates and ratings you add, starting totals from before Orvix Aero, your medical class and dates, and endorsements, including your instructor’s name, certificate number and signature as they entered it.
- Your logbook. Flights you enter, import or confirm: dates, airports, times, aircraft and tail numbers, landings, remarks and similar logbook entries, plus settings such as your home airport.
- Location, only if you turn on flight detection. The app uses your phone’s location, including in the background if you allow it, to notice takeoffs and landings and suggest a logbook entry. We keep the route of each detected flight so you can see it on your map. You can turn this off at any time in your phone’s settings.
- Your schedule, if you add it. Trips and months you upload, paste, import from a calendar file or enter by hand: dates, flight numbers, airports, scheduled times, block times, trip numbers and duty times. If you upload a screenshot, paste schedule text or import a calendar file, we send it to be read and don’t keep the image, text or file. We never read or store pay, credit, sick time or names from your schedule.
- Paper logbook scans, if you use them. Photos of logbook pages you take or pick are sent to be read and aren’t kept. The flights you check and save become part of your logbook. Camera and photo access are used only for this.
- Saved flights and alerts. Flights you save for alerts, and your device’s push token so we can send them. If you turn on trip alerts, we check the FAA’s public airport status and the forecast for the airports on your upcoming trips, and keep a note of which alerts we already sent so you don’t get the same one twice.
- Training and checks, if you use them. The training items you track (such as checkrides, recurrent training and flight reviews), their dates and notes, training days, and photos of training records you choose to add. Record photos are stored privately with your account so you can see them on your other devices; only you can open them.
- Layover notes. Notes you write about airports and layovers, stored with your account and shown only to you.
- Trips in your calendar, if you turn it on. We create a private calendar link for your trips and training days. Anyone you give the link to can see those trip times and routes, so treat it like a password; you can reset it at any time in Settings.
- Profile photo, if you add one. A small copy of the picture you choose, stored with your account and shown only to you.
- Subscription. If you subscribe, Apple (on the iPhone), Google Play (on Android) or Stripe (on the web and Windows) takes the payment; we never see your card. We receive whether your plan is active, which plan it is, the store and when it renews or ends.
- Feedback you send. The bug reports and ideas you send from Settings, and our replies.
- Crash reports. If the iPhone app crashes, a report with the app version, device model, iOS version and where in the code it happened, so we can fix it. It doesn’t include your name, email, IP address, location or logbook.
- Your location in the Briefing, only when you tap “Where am I?”. It’s used on your phone to work out the distance and drive to the airport, and is never stored or sent to us.
- Stored on your device. To work offline and power the Home Screen widget and Live Activity, the app keeps a copy of your recent logbook, flights waiting to sync and your next trip on your device. It’s removed when you sign out.
- Pay rates stay on your phone. The hourly rate, per diem and guarantee you enter for the pay estimate are stored only on your device and never sent to us.
- Weather and aircraft lookups. When you look up weather we receive the airport code you searched. When you add an aircraft we look up its public FAA registration record.
- Days you use the app. When you open Orvix Aero we note the date you used it, so we can count how many pilots use the app each day. It's tied to your account and deleted with it, and isn't used for anything else.
- Website visit counts. When you visit orvixaero.com, the page counts the visit anonymously so we can see how many people visit each day: the page, the site or tagged link that brought you, whether it's a phone, and your country (and US or Canadian region), worked out from your browser's time zone. No cookies. Your IP address and browser details are used only to make a one-day code so a visit counts once that day, and are never stored.
- Waitlist. If you join the waitlist on orvixaero.com, we keep your email address so we can tell you when we launch.
How we use it
- To sign you in and keep your account secure.
- To build and show your logbook, totals and flight map.
- To detect flights and suggest entries for you to confirm. Nothing is added to your logbook until you confirm it.
- To show weather for the airports you choose.
- To lay out your schedule, check it against FAR 117, keep your trips up to date with live flight status, and estimate your pay on your phone.
- To send the flight, trip, delay, weather and training reminders you turn on.
- To keep track of your training and check due dates.
- To answer you when you contact us, and to send important account messages such as email confirmations and password resets.
We do not sell your information, use it for advertising, or share your flights with other pilots. We do not show aircraft owner details.
Who helps us run Orvix Aero
We use a small number of service providers who process information only to provide their service to us:
- Supabase stores your account and logbook data.
- Apple and Google handle sign-in if you choose them.
- aviationweather.gov (U.S. National Weather Service) provides weather reports; it receives airport codes, not your identity.
- Expo delivers app updates and, with Apple and Google, push notifications for your alerts.
- FAA (nasstatus.faa.gov) provides airport delay and ground stop information; our server asks about airports only.
- Anthropic reads the schedule screenshots, schedule text and calendar files, and paper logbook photos you upload. Our server sends them and gets back the trips or flight rows; your name and email aren’t sent with them.
- RevenueCat keeps track of subscriptions across the App Store and the web, using your Orvix Aero account ID. Apple, Google Play and Stripe process payments.
- Sentry receives the iPhone app’s crash reports described above.
- AeroDataBox and Aviationstack provide flight status and gates. Our server asks about a flight number, date and airports; your identity isn’t sent.
- Known Crewmember checkpoint information comes from the public knowncrewmember.org site; only airport codes are looked up.
- NOAA / National Weather Service provides the radar layer on the map; your phone loads radar images for the area you’re viewing.
- OpenStreetMap data, served by Geoapify (and Geofabrik's Postpass for gate numbers), provides places around airports. Our server asks for places near an airport; your identity and location are not sent.
- Near me (optional): when you ask for places around you, the app sends only a rounded location, accurate to about 1 km, to our server, which looks up places around that spot and keeps the results for a week so others nearby can reuse them. Your exact position stays on your phone and is used only to sort the list by distance.
We may disclose information if the law requires it.
Information from Google sign-in
If you sign in with Google, we receive your name, email address and Google account ID, and use them only to create and sign in to your Orvix Aero account. Orvix Aero’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Keeping it safe
Data is encrypted in transit, and each pilot can only access their own records. No system is perfectly secure, but we work to protect your information and limit who can access it.
Your choices
- Export. You can export your whole logbook as a CSV file at any time, for free, from Settings → Your data.
- Delete. You can delete your account in the app. This permanently deletes your account, logbook, flight routes, schedule, saved flights, training records and photos, layover notes, calendar link, profile photo and settings. If you signed in with Apple, we also ask Apple to revoke Orvix Aero’s access to your Apple ID. Deleting your account doesn’t cancel an App Store or Google Play subscription; cancel it in your phone’s settings first.
- Notifications. You can turn alerts and reminders off in the app or in your phone’s settings.
- Location. You can turn location access off in your phone’s settings; you can still log flights by hand.
- Questions or requests. Email info@orvixaero.com to ask about, correct or delete your information, or to leave the waitlist.
Orvix Family
Orvix Family is a companion app for the people a pilot invites, such as a spouse or parents. It works only with an invite code from a pilot who uses Orvix Aero. This section explains what Orvix Family collects; everything above about Supabase, Expo, Apple, Google and deleting your account applies to it too.
- What the pilot shares with you. The pilot decides who can join and how much each person sees: their trip calendar, layover cities and, with full access, their flights, flight status and gates, and where the plane is while they are flying. The pilot can pause sharing for any day or remove you at any time.
- Your account. Your name, email address and how you're related to the pilot (for example “Spouse”), from sign-in with Apple, Google or email.
- Family chat and photos. The messages and photos you and the pilot send each other, stored privately with your family so only its members can see them. The camera and your photos are used only when you choose a photo to send.
- Your location, only while you're picking the pilot up. When you tap “I'm on my way,” the app uses your location for turn-by-turn directions to the airport and sends your position and arrival time to the pilot about once a minute, including while your phone is locked if you allow it. It stops when you tap “Got them” or close the directions, and after 3 hours at most. We keep only your latest position for that pickup, not a history of where you drove.
- Voice notes. The microphone is used only while you hold the record button. Voice notes are stored privately with your family, like photos, so only its members can play them.
- Family plans and games. Family events you add to the calendar, the wish list, landing-time guesses and trip stories are stored with your family and seen only by its members and the pilot.
- Cartoon avatar. If you make a cartoon face, the app saves only the features you picked (like hair and eyes) and draws it with DiceBear (api.dicebear.com). Only those features are sent, never your name, email or photo.
- Stored on your device. Kids' mode and the Home Screen widget and Live Activity keep their settings and the pilot's next trip on your device. They're removed when you sign out.
- Directions. Our server sends your starting point and the airport to Geoapify to work out the route; your name and email aren't sent.
- Notifications. Your device's push token, so we can tell you when the pilot lands, sends a message or is running late.
Orvix Family doesn't show ads, doesn't sell your information, and doesn't share your location with anyone except the pilot of your family. You can leave a family at any time in Settings; deleting your account removes your account and your messages.
Orvix Cabin
Orvix Cabin is the app for flight attendants. It uses the same account system and servers as Orvix Aero, so everything above about Supabase, Expo, Apple, Google, notifications and deleting your account applies to it too. This section explains what is different.
- Your account. Your name and email address from sign-in with Apple, Google or email, and whether you set the account up as a flight attendant's.
- Your schedule. The trips you add: duty periods, flights, report and release times and layover cities. A screenshot or text you use to add a trip is sent to our server and read by Anthropic (Claude) to pull out the trip, then discarded; it isn't kept. We ask the reader to leave out names, crew lists, employee numbers, pay and hotel details.
- Live flights. To show delays, gates and the plane coming in, our server looks up your flight numbers with AeroDataBox and FlightAware. Only flight numbers, dates and airports are sent, never your name.
- Layover notes and crew tips. Your notes for a city are private to you. Tips you choose to share (public places only, like a restaurant or a gym) can be read by other Orvix Aero and Orvix Cabin members and show as “A pilot” or the name you give, not your email. Tips can be reported and are hidden after several reports.
- Crashpads. If you create or join a crashpad, its name, members and the nights each member plans to stay are visible to that crashpad's members only.
- Kept only on your phone. Documents and expiry dates (passport, visa, recurrent), trip expenses and receipt photos, pay rates and rigs, packing lists and alarm settings stay on your device and are never sent to us.
- Food and errands nearby. A rounded position (about 1 km) is sent to our server to find places from OpenStreetMap via Geoapify; your exact location stays on your phone.
- Feedback. What you write and any screenshots you attach, stored privately for the Orvix team.
- Family. If you invite family to Orvix Family, the Orvix Family section applies to what they see.
Orvix Cabin never shows or collects your airline's internal data, such as seat loads, standby lists or crew lists. It doesn't show ads and doesn't sell your information.
Children
Orvix Aero is not directed to children under 13, and we do not knowingly collect information from them.
Changes
If we change this policy we will update the date at the top, and tell you in the app or by email if the change is significant.
